Privacy policy

Last updated: October 28, 2026 · Version française

In case of any discrepancy between the English and French versions, the French version prevails.

NexBot provides a virtual customer service assistant that businesses add to their websites. This policy explains what information is processed, why, and what your rights are, in accordance with Quebec's Act respecting the protection of personal information in the private sector (Law 25).

You are chatting with a robot powered by artificial intelligence, not with a person. Please do not type sensitive personal information (health, finances, identification numbers, passwords).

1. Who is responsible

NexBot operates the virtual assistant and the NexBot website. For any question about your personal information, you can reach the person in charge of the protection of personal information at nexbot.contact@gmail.com.

When the assistant is installed on a client business's website, that business remains responsible for its own privacy policy toward its visitors. NexBot then acts as a technology provider for it.

2. Information processed

NexBot does not use advertising cookies or advertising trackers.

3. Why we use it

We do not use your messages to profile you and we do not sell them.

4. Retention

The content of conversations is kept in the server's memory only for the duration of the session, then automatically deleted after about 30 minutes of inactivity. It is not saved in a database or a file. Exception: if you ask the assistant to pass your request on, it first asks for your agreement, then emails the business concerned your name, your contact details, a summary of your request and an excerpt of the conversation. The business keeps that email according to its own policy. Emails you send us are kept for as long as needed to handle your request.

5. Providers and transfers outside Quebec

Your information may therefore be processed outside Quebec, including in the United States, by these providers. We only send them what is necessary for the service.

6. Your rights

You can request access to the information about you, its correction or its deletion, and withdraw your consent to its use. Write to nexbot.contact@gmail.com: we will respond within 30 days.

If you believe your rights have not been respected, you can file a complaint with the Commission d'accès à l'information du Québec (cai.gouv.qc.ca).

7. Security

Exchanges with the service are encrypted (HTTPS) and access to the assistant can be restricted to each client's authorized domains. No system is infallible, however, so we cannot guarantee absolute security. In the event of an incident presenting a risk of serious injury, we will notify the people concerned and the Commission d'accès à l'information, as the law requires.

8. Children

The service is aimed at a general audience and is not designed for children under 14. If you believe a child has sent us information, contact us so it can be deleted.

9. Changes

We may update this policy. The date of the last update appears at the top of the page.
